Who we are

This website is operated by Soulfire Coaching, run by Jen Goddard. Soulfire Coaching is responsible for the personal information described in this notice. The website address is soulfirecoaching.co.uk.

For questions about your personal information, or to exercise your data protection rights, please email jen@soulfirecoaching.co.uk.

What information we collect

Depending on how you interact with Soulfire Coaching, this may include:

  • Enquiries: your name, email address and anything you choose to tell us when you contact us.
  • Newsletter and programme updates: your email address, the name fields you choose to complete, your subscription preferences and records of your sign-up or consent.
  • Bookings: the contact details and appointment information you provide when booking a call through Calendly.
  • Working together: contact, booking and administrative information needed to provide coaching or programme services, if you choose to work with us.
  • Website use: technical information, such as IP address, browser information and basic security or access logs, which may be processed by our hosting provider to deliver and protect the website.

Most information comes directly from you when you complete a form, make a booking or contact us. Where you make a booking through an external service, the information is also handled by that provider.

How and why we use your information

Answering enquiries and arranging calls

We use your details to reply, arrange conversations and explore whether our services are a good fit. Our lawful basis is our legitimate interest in responding to enquiries, or taking steps at your request before entering into an agreement.

Sending newsletters and programme updates

If you subscribe to Soulfire Insights or register your interest in a programme, we use your details to send the communications you have requested. We rely on your consent for email marketing. You can withdraw that consent at any time using the unsubscribe link in an email or by contacting us.

Registering an interest in a programme does not, by itself, commit you to purchasing it.

Providing coaching and programme services

When you become a client or programme participant, we use the information necessary to arrange and deliver the services you have chosen. Our lawful basis is generally performance of a contract, or taking steps at your request before entering into one. We may also need to retain certain administrative and transaction records to meet legal obligations.

If you choose to share particularly sensitive personal information as part of coaching, its handling may require additional privacy information and safeguards appropriate to the service.

Keeping the website safe and working

We use technical information where necessary to operate, maintain and secure this website. Our lawful basis is our legitimate interest in running and protecting our website and services.

Who we share information with

We use trusted service providers to deliver the website and services. Depending on how you interact with us, these may include:

  • Cloudflare for website hosting, performance and security.
  • Google Workspace for business email and related administration.
  • MailerLite to manage mailing lists, subscription forms and email communications.
  • Calendly when you book a call or appointment.
  • Zoom and Heartbeat where they are used to deliver a group programme or online community you have joined.

We do not sell your personal information. We may also disclose information where required by law or where necessary to protect our legal rights.

Where information is processed

Some of the service providers named above may process or store information outside the UK. Where international transfers of personal information require additional safeguards, those transfers need to be supported by an applicable adequacy arrangement or appropriate contractual protections. Information about a provider's processing locations and safeguards is available in its privacy notice and data processing terms.

Cookies and third-party services

This website may use essential technologies needed for security and site operation. Sign-up forms use MailerLite and may use anti-spam technology, including Google reCAPTCHA where enabled. Calendly's booking service may also use cookies or similar technologies when you open or use it.

Third-party services may collect technical information in accordance with their own privacy notices. You can manage cookies through your browser settings, although restricting them may affect the operation of some features. Any optional analytics or additional tracking technologies must be assessed separately and, where required, offered with appropriate consent controls.

How long we keep information

We keep information only for as long as it is needed for the purpose for which it was collected, taking account of any relevant legal, accounting, contractual or security obligations.

  • Mailing list details: while you remain subscribed. We may retain a limited record of your unsubscribe request to ensure that we respect it.
  • Enquiries and bookings: while we need them to deal with your enquiry, arrange your appointment or manage related follow-up.
  • Client and payment administration: for as long as necessary to provide the service and meet any applicable legal or accounting obligations.
  • Technical and security records: in accordance with the relevant service provider's retention and security practices.

Your rights

Under UK data protection law, depending on the circumstances, you may have the right to access your information, have inaccurate information corrected, request its deletion, restrict or object to its use, and receive it in a portable format. You can also withdraw consent at any time where consent is the basis for processing.

You can object to direct marketing at any time. Use the unsubscribe link in any marketing email or contact jen@soulfirecoaching.co.uk.

To ask a question or make a privacy request, email jen@soulfirecoaching.co.uk. We may need to confirm your identity before responding.

If you are unhappy with how your information is handled, you can also complain to the UK Information Commissioner's Office (ICO) at ico.org.uk.
